Summary: I explain how we rebuilt the website and management portal of Kastamonu İnci Yurt: a fast and secure infrastructure running on Cloudflare, a portal that handles pre-registration and capacity tracking, discovery files prepared for AI assistants, a home-versus-dorm cost calculator, an international student desk and a city guide.

Update (October 2026): The management portal and AI discovery files described in this article have been removed. Today the site consists of pages introducing the dorm, ready-made answers to frequently asked questions and the latest Instagram posts.

Every year, Kastamonu University hosts thousands of new students from all over Turkey and from more than 60 countries around the world. For students taking their first step into university in particular, and for their families, the top priority is undoubtedly finding safe, peaceful, institutional accommodation within walking distance of campus.

In this article, I summarize the next-generation web platform and corporate management portal project that I implemented from start to finish for Özel İnci Yükseköğrenim Kız Öğrenci Yurdu ve Rezidansı, which has served without interruption for 20 years in central Kastamonu, just 150 meters from the Faculty of Education and the Kuzeykent Central Campus; covering the architectural decisions, the technical challenges and the concrete transformation it delivered.

The Purpose of the Project and the Core Problems

Traditional dormitory websites generally suffer from two fundamental dead ends:

  1. Distrust & Information Pollution on the Visitor Side: Static photos from years ago, prices that are never updated and vague location information create distrust among parents. A family coming from out of town wants to see transparently the dorm's actual walking distance to campus, the quality of the meals and the current state of the rooms.
  2. Operational Burden on the Management Side: During registration periods (August - October), when hundreds of phone calls, WhatsApp messages, capacity tracking and document management are handled with conventional methods (ledgers or scattered Excel sheets), the margin for error multiplies.

Our goal in this project was not merely to build an aesthetically pleasing showcase site, but to build a modern ecosystem that answers every question in the visitor's mind within seconds, gives parents confidence and manages the dorm management's entire operational workflow from a single center.

Technical Architecture and Infrastructure Decisions

1. Cloudflare Edge-First Deployment & Zero Server Cost

We built the site's infrastructure directly on the Cloudflare Edge network instead of traditional cPanel/shared servers.

  • Micro-Second TTFB: Static pages and optimized assets (WebP/AVIF images, compressed CSS/JS) reach visitors directly from more than 300 Cloudflare data centers worldwide.
  • High Traffic & DDoS Shield: Even if thousands of visitors load the page at the same moment during the registration period, there is neither a bandwidth bottleneck nor a server crash.
  • SSL and HTTP/3: All traffic is transmitted encrypted over the most up-to-date security protocols (HSTS, TLS 1.3, QUIC/HTTP/3).

2. Corporate Management Portal (İnci Portal)

The management module used behind the scenes by the dorm administrators and registration officers was equipped with the following core capabilities:

  • Smart Pre-Registration & Application Processing: Applications submitted through the form on the website land instantly in the management panel; name and surname, faculty, preferred room type (1, 2, 3 or 4 person) and special requests are classified automatically.
  • Capacity and Room Matrix: The room occupancy rates, empty beds and contract statuses of the 135-bed residence are monitored through a visual floor plan interface.
  • WhatsApp API and Notification Bridge: Official information, contract document lists and approval texts are sent to the applying student and their family with a single click through the WhatsApp Business bridge.
  • Payment and Discount Simulator: Upfront payment discounts (10%), installment payment plans and financial tables structured according to the family's budget are calculated automatically by the system.

AI and LLM Discovery Infrastructure (llms.txt and Schema.org)

The modern web is no longer only a medium that people browse with their eyes; it is in a transformation process where AI assistants (Perplexity, ChatGPT Search, Claude, Google Gemini) compile information on the user's behalf.

In this direction, we integrated an LLM Context & Discovery infrastructure into the Kastamonu İnci Yurt platform that will set an example for all accommodation businesses in the region:

  • /llms.txt and /llms-full.txt: The dorm's 20-year corporate history, its Ministry of Youth and Sports license, the meter-by-meter walking distances to the faculties, room features and all included services were opened up to AI engines in a structured Markdown format.
  • /.well-known/api-catalog & Schema.org: LocalBusiness, Hostel and AggregateRating data (Google 4.6 rating, 231+ verified reviews) were presented in complete JSON-LD format for search engine robots and open web agents.

Thanks to this optimization, when a parent asks an AI "Which is the closest, safest girls' dormitory with meals to Kastamonu Faculty of Education?", the model references the current data of Özel İnci Kız Öğrenci Yurdu directly, without deviating into any fabrication.

Special Modules That Enrich the User Experience

  1. Home vs. Dormitory Savings Analysis Calculator: We prepared an interactive calculation table comparing the hidden costs (rent, natural gas/heating, electricity, water, internet, breakfast, dinner, campus shuttle fee, deposit and furniture expenses) between renting a house and staying in a dormitory in Kastamonu. Families can see with concrete figures how much they save annually by staying in the dormitory.

  2. International Student Desk (Multilingual Integration): Residence permits, Immigration Administration appointment processes and multilingual communication guides were prepared for foreign students studying at Kastamonu University.

  3. Kastamonu City and Gastronomy Guide: For families coming to the city for the first time, a friendly travel route including Kastamonu Castle, the Clock Tower, Şeyh Şaban-ı Veli Complex, Horma Canyon and local gastronomy stops (Kuyu Kebabı, Pastırma, Çekme Helva) was integrated.

Results and Contributions

  • Zero Call Confusion: During the registration period, routine questions (80%) were answered via the web page, the frequently asked questions section and interactive modules, providing a serious optimization in phone traffic.
  • Fast Conversion: Thanks to transparent room photos, clear emphasis on the 150m walking advantage and one-click WhatsApp access, pre-registration conversion rates rose significantly.
  • Kastamonu's Digital Face: A reference project emerged in Kastamonu's student accommodation sector that applies modern web technologies and AI literacy at the highest level.

My reading

  • Answering the parent's question on the page: Up-to-date photos, a clear location and answers to frequently asked questions noticeably reduced phone traffic during the registration period.
  • Choosing the infrastructure is half the job: Running on Cloudflare kept the site fast and online even during the heavy traffic of the registration period.
  • Modern web is possible even for a small institution: A well-designed site makes it easier for a 20-year-old dormitory to present itself confidently to families outside the city.
